IMPORTANT PASSPORT INFORMATION FOR INDIAN CITIZENS

  1. In accordance with guidelines of the International Civil Aviation Organization (ICAO), the Government of India has introduced a new system of Machine Readable Passports.

  1. Application for renewal of passport can be submitted usually, if the validity of the passport is less than one year or all the pages of the passport have been exhausted. One can also apply for re-issue of passport when a new booklet is necessitated on account of change in basic particulars on first page viz. Change in name, Appearance, Seeking amendment in date of birth.

  1. Under the new system all Indian passports will be issued at a central issuing office in New Delhi. Therefore it will take about three to four weeks for issue of a printed passport, i.e. if everything is found to be in order in respect of the application form, photo, etc., by the authorities in India. In case a reference is to be made to the original Passport Issuing Authority, it might take longer time. Applicants are advised to contact the Embassy three weeks after submitting their application forms to check the status of their new passport. There is no express or tatkaal service for issuance of the passport.

  1. An applicant has the option to apply for an ordinary passport booklet of 36 pages or a Jumbo passport booklet of 60 pages of ten-year validity.

  1. A separate passport must be obtained by every individual. A child’s name can no longer be endorsed on a parent’s passport. Minors are issued passports for 5 years or up to attaining 18 years, whichever is earlier.

  1. The applicant must submit the application in person for identification. In case of minor children, presence of both parents along with the child would be required.


PROCEDURE and DOCUMENTATION

  1. First of all fill in the online registration form for the passport at : http://passport.gov.in/nri/

  1. After filling the requisite application form, a PDF file will generate. Take a print out of the online application form. Fill in its page 2&3.  Please ensure that specimen signatures are affixed in black/blue ink, at the prescribed spaces. The application form duly filled in and signed is to be submitted, along with the requisite documents, at the Embassy on any working day (Monday to Friday) between 0930 and 1200. List of holidays may also be seen before coming to the Embassy.

  1. Two recent photographs (5cm x 5cm or 2”x2”) showing frontal view of full face against white background in civilian clothes taken in a studio (Polaroid photographs and photographs with dark glasses or uniforms are not accepted) should be submitted along with the application. One of the photographs should be fixed on first page while the other need to be pasted at the blank space of the third page of the application form.

  1. A self attested/signed photocopies of all the pages of the current passport, having information about the applicant including endorsements in any, should be submitted with the application. Self-attested copy of Permanent Residence card is also required. Where applicant is not a PR, current immigration document (e.g. Student ID, Work Permit etc) are to be submitted.  If the applicant is a student, details of educational institution, along with period of study is required.  In case of work permit holders details of employer and period of employment is required.  

  1. If there is change in address, proper address proof, such as Aadhar card, Voter ID, House Registration, Tax Receipt, Electricity/Telephone bill or Nativity Certificate issued by the Competent Authority of the State concerned, should be presented (copy and original) along with the application.

  1. If there is addition of spouse name, the apostilled marriage certificate (copy and original) should be presented along with the application.

  1. If there is deletion of spouse name, the apostilled divorce certificate (copy and original) should be presented along with the application.

  1. If there is change of surname due to marriage, the apostilled marriage certificate (copy and original) should be presented along with the application.

  1. If there is change of name, the following documents are required:

  • Original newspaper advertisement announcing change of name, published in two leading daily newspapers. The newspapers should be of area of applicant’s permanent address in India (one in English and the other in Hindi/local language). Waiting time of 30 days is mandatory after the last publication.

  • Affidavit regarding change of name, in prescribed format signed in the presence of Consular Officer.

GENERAL INFORMATION FOR PASSPORT APPLICANTS

  1. Applicants are advised to ensure that their application in the prescribed format is complete in all respects; that all columns are correctly and legibly filled up and no column is left blank or unfilled or vaguely filled with a dash, tick, etc. All signatures in the application should be with ballpoint pen.

  1. It is an offence under the Passport Act 1967 to furnish false information in the application. Passport facilities could be denied on grounds of suppression of material information, submission of incorrect particulars, willful damage/loss of passport or for unauthorised change/tampering. The Passport can be impounded or revoked for violation of one or more of the provisions of the Passport Act.

  1. A passport expired more than six months back should be supported by a Sworn Affidavit explaining the circumstances and spelling out the reasons for late submission.

  1. Those Indian citizens acquiring citizenship/passport of another country should immediately surrender their Indian Passport to the Indian Embassy.


APOSTILLE

  1. Ministry of External Affairs, Government of India, has started issuing Apostille stickers and will be issued on certificates – personal such as birth and death, affidavits, power of attorney, marriage certificate etc and educational documents such as degrees, diplomas, matriculation and secondary level certificates. However, commercial documents are excluded from the purview of the Apostille Convention. As per the procedure, all documents should be first authenticated by the designated agencies in the State from where the document has been issued. In case of personal documents, Home Department/General Administration Department of the concerned State are the designated authorities. In case of educational documents, State Governments have now opened Regional Authentication Centers (RACs) (List is available on MEA’s website www. mea.gov.in) in States from where educational documents should first be attested. Documents attested by these authorities then need to be presented to MEA for issue of Apostilles. A fee of Rs. 50/- in form of Postal/Pay Order drawn in favour of PAO, MEA, New Delhi is payable for each Apostille sticker.
